Privacy Policy

Introduction

At SquareVertex.AI ("we", "our", or "us"), we are committed to protecting your privacy. This Privacy Policy explains how we collect, use and protect your personal data when you use our website ("Website"), book a call with us or send us an enquiry.

Information we collect

When you fill out our contact form we collect your full name, email address, phone number, the topic you choose and your message. To understand which pages and campaigns bring enquiries, the form also sends the page you sent it from, the language of the page, the campaign tags in the link you arrived through (UTM source, medium, campaign and content) and the website that referred you, if any. Your browser keeps these campaign details for up to 30 days in local storage on your device; they are not sent anywhere unless you submit the form.

When you book a Start Here call we receive the name, email address and any notes you enter in the booking form, and the time you choose.

If you apply for a job, we collect the information you send us, such as your CV.

Analytics without cookies

We measure visits with Umami, an open-source analytics tool that we host ourselves. It does not use cookies, does not build profiles of individual visitors and does not share data with third parties. It records pages viewed, the referring website, device type, browser, country and a few actions such as clicking "Book a free call" or sending the contact form. Respecting your browser's "Do Not Track" setting, we do not load analytics at all when it is switched on.

The Website also remembers your language choice (English or Albanian) in your browser's local storage. This stays on your device.

How we use your information

We use your personal information to respond to your enquiry, to hold the call you booked, to process job applications and to understand which of our pages and campaigns are useful. We do not sell your data or use it for advertising.

Service providers

We use a small number of providers to run the Website and handle enquiries:

• Lead sheet (Google). Each enquiry is emailed to us and saved as a row in a Google Sheet in our Google Workspace, which only authorised staff can open. Google LLC is certified under the EU-US Data Privacy Framework, and we rely on that framework and Google's data processing terms for transfers to the United States.
• Booking calendar (Google Calendar). The booking calendar on our Contact page is a Google Calendar appointment schedule. When you open it, Google receives your IP address and browser details, and the details you enter are handled by Google under its own privacy policy and the EU-US Data Privacy Framework.
• Maps and event images. The map on our Contact page loads map images from OpenStreetMap, and the OWASP meetup cards load event images from Meetup. Both receive your IP address when the images are displayed.
• Hosting and email. Our hosting provider stores the Website and delivers our email.

Legal basis

We process enquiry and booking data to take steps at your request before entering into a contract and in our legitimate interest in responding to businesses that contact us. We process analytics and campaign data in our legitimate interest in understanding and improving the Website, using a cookieless, privacy-friendly tool.

Data storage and security

We implement appropriate technical and organisational measures to protect your personal data from unauthorised access, alteration, disclosure or destruction. Your data is accessed only by authorised personnel.

Your rights

Under Albanian data protection law (Law No. 124/2024 on Personal Data Protection) and, where it applies, the EU General Data Protection Regulation, you have the right to access the personal data we hold about you, to request correction or deletion, to object to or restrict processing, to data portability and to withdraw consent at any time where processing is based on consent. You can also complain to the Information and Data Protection Commissioner (IDP) in Albania or to the supervisory authority where you live.

Data retention

We keep enquiries and booking details for up to 24 months after our last contact with you, unless we enter into a contract or the law requires us to keep them longer. Analytics data is kept in aggregate form.

Changes to this policy

We may update this Privacy Policy occasionally. The latest version will always be posted on this page.
